Applicant Privacy Notice

Application information and purpose

We receive your name, email address, resume, and any optional phone number or LinkedIn URL you provide. Your resume may include employment history, education, qualifications, and other information you choose to share. We use these details to assess your qualifications, communicate about your application, and administer recruitment.

Please provide only information relevant to employment. Do not include Social Security numbers, identity documents, bank account details, health information, or other sensitive personal data. Obtain permission before including another person’s contact details, such as a reference.

How an application is handled

Resumes are uploaded to Firebase Storage. Application details and a resume download link are sent through EmailJS and our email provider for hiring review. Anyone who obtains the download link may be able to access the resume; the link should not be shared outside the hiring process.

Before upload, the website calculates a SHA-256 fingerprint of your resume and checks that fingerprint against existing VirusTotal reports. The resume itself is not sent to VirusTotal. A fingerprint with no report has not been scanned and may require manual security review. This check does not determine your suitability for employment.

We may share application information with people involved in recruitment, providers supporting storage and communications, or where disclosure is required by law or needed to address a legal claim. Providers may process data in the United States or other countries.

Retention

We have not set a fixed retention period for every application. Retention depends on recruitment needs and applicable employment recordkeeping obligations. Some hiring records must be retained even after an application is withdrawn or a deletion request is made; legal claims can require longer retention.

Contact us to ask about your application’s status, retention, or deletion. We do not promise immediate or automatic deletion of records that must be kept under applicable law.

Your requests

You may contact us to correct application information, withdraw your application, request access to information you submitted, or request deletion, subject to applicable law and retention requirements. We may need to verify your identity. Please avoid emailing additional sensitive identifiers unless specifically requested through an appropriate channel.

Submitting an application

The acknowledgment in our careers form confirms that you have read the privacy information before submitting. It does not subscribe you to marketing or waive rights available under applicable law. Submitting an application does not create an employment relationship or guarantee an interview or offer.
